Accounts receivable · Built to scope
Accounts receivable automation for trucking
A load is not billable until the paperwork is complete, and cash is not applied until someone matches the payment to the right invoice. We build software that assembles the invoice from your delivery documents and matches incoming payments, so your billing team reviews exceptions instead of retyping.
The problem
Where billing waits on paperwork.
Revenue sits in the gap between a delivered load and a sent invoice, and again between a sent invoice and applied cash.
- Documents arrive laterate confirmation, bill of lading, and proof of delivery come from different people and places
- Accessorials get misseddetention, lumper, and layover charges are added by hand, or forgotten
- Payments do not match cleanlya remittance covers several invoices, or pays less than billed, with the reason buried in an email
- Collections follow the loudest customerfollow-up is driven by memory instead of aging
What we build
From delivered work to cash applied.
Each piece ends in something a person reviews. Credit decisions and customer conversations stay with your team.
- Invoice assemblyinvoices put together from rate confirmations, proof of delivery, and accessorial charges, with anything missing listed
- Cash applicationincoming payments and remittances matched to open invoices
- Short-pay and unapplied cashflagged with the reason and the documents attached
- Collections queueranked by aging, with the follow-up drafted for review
- Dispute filedocuments kept together with the invoice they concern
Where this stands
Scoped and built the same way as payables.
Accounts payable is the module we run in production today, built with a transportation company and used by 20+ people. Receivables work is not running in production yet. We scope it against your own documents and rules, starting with one queue.
- 01
Pick one queue with a number attached: days from delivery to invoice, or days to apply cash
- 02
Build against your real rate confirmations, proof of delivery, and remittances, not demo data
- 03
Measure against how the team worked before, then expand only if it earns it
Questions
What billing teams ask first.
Does this replace our TMS or accounting system?
No. It works with the systems you already run and prepares structured records for them. Which systems we integrate with is scoped per project.
Do you work with factoring companies?
Packaging a complete, correct invoice and its documents is the same problem whether you bill customers directly or submit to a factor. We would look at your submission format during scoping.
Will it send invoices or emails by itself?
Not unless you decide it should. The default is that a person reviews every invoice and every follow-up before it goes out.
Start with one queue.
Tell us which queue your team still works by hand. We will say whether it is worth automating, and what it would take. Sometimes the answer is no.
